MEMBER'S PRIVACY POLICY
The General Data Protection Regulation (GDPR) is a legal requirement that all organisations put in place appropriate measures to implement the data protection principles and to safeguard individual rights.
This document supports the Billericay Bowling Club's need to process the personal data of its members in order to fulfil its contractual obligations.

Why we hold your information.

We use members’ information to manage the membership register that supports the financial and communication requirements of the Club.

Such information allows us to control the finances of the Club, organise our squads, arrange matches and disseminate information about meetings and social events.

We will never share or sell your personal data and we will only provide it to third parties where we are required to do so by law or for the purposes associated with the activities of County, District and other bowling associations.

Unless instructed otherwise, in writing, we will keep members information whilst it supports the financial and communication requirements of the Club, after which time it will be deleted.

The personal information that we hold.

We ask members to supply us with sufficient information to supports the Club's financial records and to allow them to be contactable.
The current data requirement is for:
- their name and address, together with their DOB (for Council charging levels)
and, either one or both of,
- their phone numbers and email addresses
The date of the application to join and the date joined are also recorded.
Members requiring car park permits will also need to provide the relevant vehicle details.
We also ask to be advised of any changes to member's personal information held by the Club.

We do not hold any information designated by the GDPR as 'special'.

How the personal information is stored.

All personal information is stored as digital data on computers and a subset is included in the handbook, which is issued to each member at the start of each season.

Access to the data.

All members have access to a subset of the Personal data, either via the handbook or the password protected website page.
Members may request a hard copy of their membership data held by the Club from the Club Secretary.

You have the right to amend or remove any of your personal data held by the Club.

Notification of any changes that you require should be conveyed to the Club Secretary but the Secretary does need to have at least one method of contacting you.
Removal of a member's details from the handbook or website page can be requested and will result in restricted contacts.

Changes to the Members' Privacy Policy.

We regularly review and, where necessary, update our privacy information.
If we plan to use personal data for a new purpose, we update our privacy information and communicate the changes to individuals before starting any new processing.
