Privacy Notice 

Cliffe Woods Community Association collects data for the following purposes 

Events 

When booking tickets for events on the phone, patrons are asked for a phone number or email so we can contact them in the event of an issue with the named event. These are then destroyed after the event.  

Expressions of interest for participation in and organisation of events on online forms. Data collected is kept for 3 years to inform our work and kept on a password protected system.  

We occasionally use online booking or commerce sites, where a name and email are required. Data from these are used for our marketing purposes but never disclosed to a third party. Users are also covered by the privacy notice of that site.  

When we direct people to a donation page, the privacy notice of that site applies and CWCA does not receive data from it.  

Hall bookings 

A paper form is required to book the hall, this is held by Ian Downes (Chairperson) and some details are shared with the caretaker to allow for access to the hall. These forms are kept for no longer than 12 months and then shredded. 

Photographing and filming 

We take photos and videos at our events for editorial and marketing purposes. We will signpost that filming/photography is taking place and respect anyone’s wishes not to be filmed/photographed if they inform us. We will take steps to ensure that individuals cannot be recognised, in accordance to GDPR law. Data will only be kept for as long as is needed for marketing and social impact reporting. As our events are for the whole community we cannot be held responsible for any filming or photographing by members of the public. 

CCTV 

The community centre has CCTV which is managed by the social club. It is for security reasons only and the footage stays in the building.
