Privacy Policy
Lynemouth Parish Council is committed to protecting and respecting your privacy. We are registered as a ‘data controller’ under the Data Protection Act (registration Number ZA411044). This policy sets out how we use, manage and disclose data for councillors, residents, suppliers, or other customers / clients, and explains our obligations under the law.
Policy on Communications
Aim: Keep people informed of Council actions and encourage stakeholder participation.
Purpose: Covers internal and external communications, setting standards for clarity, openness, and timely delivery, with responsibilities for both Clerk and Councillors.
Policy on Social Media
Social media allows Councillors to share content, advice, and opinions with residents. Benefits include wider reach and engagement. Drawbacks include managing volume, professionalism, legality, and clarity of capacity (personal vs professional comments).
Policy on CCTV
Controls management, operation, use, and confidentiality of the CCTV system on Bridge Road and Park Road. Objectives: increase safety, deter crime, assist police, protect the public and play park equipment.
Policy on Public Speaking
Time at the start of each meeting is allocated for public participation. Guidelines exist to consider individual applications fairly.
Policy on Memorial Items
The Council accommodates residents’ wishes for memorial items, with priority for residents or those who contributed to the parish. Each request is considered individually.
Policy on Anonymous Communications
Covers communications where the sender cannot be identified (letters, texts, social media).
Standing Orders
Standing orders regulate meetings and internal administration. They reference statutory requirements but do not replace them. Reviewed 13th May 2025.
Code of Conduct
Based on the LGA Model Councillor Code of Conduct May 2022, with amendments for local practice. Reviewed 13th May 2025.
Parish Councillors Duties and Role
Councillors represent all residents, listen to the community, and serve for a 4-year term (or until the next election if co-opted). More details are in the enclosed document.
Complaints Procedure
The Council follows the enclosed procedure for all complaints.
Grants and Donations Policy
A sum is set aside annually to support good causes in the parish. Applications must follow the enclosed policy and be returned to the Parish Clerk.
Procedure for Co-option onto the Parish Council
Based on NALC Legal Briefing L15-08. Co-option fills casual vacancies when election requirements are not met.
