Your personal data
The law relating to how we use and keep your data changed from 25th May 2018 and the information below sets out what data we may hold about you and how and when we might use that data. This is called a “Privacy Notice” and applies to any prospective, existing or former member of Kings Bowls Club (“the Club” or “we”).
The Club does not have a named data protection officer. The committee is responsible for our adherence to data protection laws and undertakes to frequently review processes We process personal data in the ways listed below. Personal data is any data that would enable someone else to identify a living person. The personal data obtained, held and processed by the Club includes your:
- Name, gender, date of birth;
- postal and email address;
- membership start and end dates;
- phone number(s); and
- photographs and video footage.
Data is collected in a number of ways including: on the Club membership form, on game and Club event sign-up sheets, upon entry to certain competitions and at the annual general meeting.
We will hold your data in paper form or electronically. If held electronically, every effort will be made to ensure it is held on computers with a current, valid anti-virus programme installed.
Data may also be held in paper form, stored either at the office at the Club or at the home of members of the committee. We take steps to ensure that paper records are kept securely, by locking the office after use or by making sure paper records are securely stored at the home of any committee members.

Keeping your data
The Club will collect and retain data throughout your period of membership. If you leave the Club, the data will be archived in accordance with the committee’s standard archiving processes. Some data may remain accessible, for example data relating to any competitions you won or were part of.
Your rights
You have the right to ask the Club to update any incorrect information held about you or to request that your data is not processed by the Club. If you have any questions or concerns about the data we hold about you, please speak to a member of the committee as soon as possible. In addition to this privacy notice, the Club maintains a policy relation to data processing.
Consent and acceptance
The Club requires each member to confirm their acceptance of the provisions of this privacy notice. Additionally, we need you to consent to any marketing or promotional uses of your data. Consent will be sought, for new members, upon joining the club through our membership form or subsequently, for existing members, through completion of a separate acceptance form.
