Data Protection Policy - South Clifton Parish Council

1. Purpose

South Clifton Parish Council is committed to protecting personal data and ensuring it is handled in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Scope

This policy applies to all councillors and the Clerk when handling personal data in the course of parish council business.

3. What is personal data

Personal data includes any information relating to an identifiable individual, including:

  • Names, addresses, email addresses and phone numbers
  • Correspondence from residents
  • Employee or contractor details
  • Service user information

4. Principles

The council will ensure personal data is:

  • Processed lawfully, fairly and transparently
  • Collected for specified, legitimate purposes
  • Adequate, relevant and limited to what is necessary
  • Accurate and kept up to date
  • Retained only as long as necessary
  • Stored securely

5. Lawful basis

The council processes personal data under:

  • Public task (carrying out official functions)
  • Legal obligation
  • Legitimate interests (where appropriate)

6. Data handling

The council will:

  • Only collect necessary personal data
  • Use data only for council purposes
  • Not share data unnecessarily
  • Ensure confidential information is handled appropriately

The council will ensure:

  • Password-protected devices and accounts

The Parish Clerk is responsible for day-to-day data protection compliance. All councillors are responsible for handling personal data appropriately.
